Responsibilities: The Finance Associate will be responsible for executing the tasks necessary to
maintain the financial health of the organization. This role works closely with the Senior
Manager for Finance and HR as well as the farm’s outside bookkeeping firm to ensure clarity
and integrity in financial data.
Reports to: Senior Manager for Finance and HR
Key Responsibilities:
● Execute weekly accounts payable process to pay bills
● Deposit and categorize checks and cash receipts bi-weekly
● Perform month closing categorization from online sales, farm store sales, and credit
card expenses.
● Oversee invoice creation for education and wholesale customers and follow up on
outstanding invoices
● Create and reload customer house accounts and gift cards for the farm store
● Review weekly employee timesheets, resolve errors
● Process payroll biweekly including 403b contributions, QSEHRA reimbursements,
expense reimbursements and sick/PTO time balances
● Collect W-9s from contractors and review 1099 list annually
● Assist with the accounting for restricted funds, inventory use, fixed assets, depreciation
and cash liquidity
● Administer Little Green Light donor management system, uploading donations and
printing and mailing acknowledgements
● Track donated capital goods, stock gifts and grants
● Work with bookkeeping firm to produce monthly reports for the board
● Work with outside auditors annually to assemble required records and schedules
● Produce one-off financial reports as requested by other staff or board members.
● Attend Finance Committee meetings quarterly
● Participate in creating the operating and capital budgets annually.
● Assist with revising Policy & Procedures manual as necessary.
● Assist in the filings of nonprofit annual report, federal 990 and MA Form PC tax returns
● Remit MA sales tax monthly
● Maintain certifications and licenses with regulatory boards including including SNAP, HIP,
Water Department, Board of Health, RMV, Assessor’s Office
● Run CORI checks on volunteers, staff, board members
● Along with other staff, help to administer technology tools including ECRS point of sale
system, Squarespace website, Google Workspace accounts, Square mobile point of sale
system, and Dropbox filesystem.
● Miscellaneous office tasks including mail, phone and occasional supply purchasing
Skills, Qualifications & Requirements:
● Related finance experience required; nonprofit financial accounting preferred
● Demonstrated competence using complex spreadsheets and web-based software tools.
● Strong communication and collaboration skills.
● Efficient, quick learner, and self-starter.
● Organized and detail-oriented.
● Bachelors degree or higher
● Must pass a CORI background check prior to employment.
Work Schedule:
● Part Time (~20 hours per week), hybrid position with at least 10 hours/week in the
office. Daily work hours are flexible provided there is sufficient overlap with other farm
staff.
● Start Date: ASAP
Compensation
● Year-round, exempt position; $28/hour
● Eligible for 403b retirement plan, including discretionary match at year-end
● Five days of sick time per year, pro-rated to start date.
● Eleven holidays per year

dozen scenic fields throughout the town.
